About the Role

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Admission Service Representative based in the United States.

This role plays a key part in supporting prospective students through the admissions journey within a fully online higher education environment. You will ensure application data is accurately processed, tracked, and maintained across administrative systems while helping applicants navigate each step of the enrollment process. Acting as a central point of coordination between students, enrollment staff, and internal academic teams, you will help ensure a smooth, efficient, and supportive admissions experience. The role combines high-volume data management with student-facing support, requiring both precision and strong communication skills. You will also contribute to process improvement, reporting, and system accuracy to strengthen operational quality across the admissions function. Accountabilities:

  • Process and manage student applications within administrative systems, ensuring accuracy, completeness, and timely updates throughout the admissions lifecycle.
  • Organize and maintain applicant files, including document imaging, transfer coursework entry, communication logs, and status updates in institutional platforms.
  • Support applicants and internal staff by providing guidance on admissions procedures, troubleshooting issues, and ensuring clear communication throughout the process.
  • Run audits, generate reports, and assist in maintaining data integrity, quality control, and compliance across admissions records and workflows.
  • Collaborate with enrollment coaches and campus staff through scheduled communications, ensuring alignment on application status and operational updates.
  • Assist in updating forms, testing new procedures, and contributing to the continuous improvement of admissions systems and processes.
  • Act as a liaison between operational teams and leadership to ensure smooth coordination and issue resolution across the admissions function.
Requirements:
  • Previous experience in admissions, registrar, or higher education administration is strongly preferred, or equivalent administrative/data management experience.
  • Strong data entry and system management skills, with high accuracy and attention to detail in processing large volumes of information.
  • Familiarity with administrative systems and document management tools (e.g., Banner, Salesforce, ImageNow, or similar platforms).
  • Strong organizational skills with the ability to prioritize tasks and manage fluctuating workloads effectively.
  • Excellent communication and interpersonal skills, with the ability to work with diverse stakeholders in a professional and service-oriented manner.
  • Ability to maintain confidentiality and apply discretion when handling sensitive student and institutional data.
  • Basic understanding of arithmetic and data validation processes.
  • Strong teamwork mindset and commitment to delivering high-quality student support services.
