Job Description

A Glimpse of the Job

The Texas A&M Libraries are seeking a highly organized and detail-oriented Library Specialist II. This role is primarily responsible for accurately processing routine invoices and maintaining comprehensive records across multiple platforms. This position communicates with stakeholders and vendors to support ongoing acquisitions in a timely, consistent, and financially sound manner. The Library Specialist II also manages renewals for subscriptions, standing orders, and continuations in all formats through the Library's subscription agent, utilizing the library's online Acquisitions system. Additional responsibilities include verifying receipt of materials and confirming access. The ideal candidate will be able to manage multiple workflows with accuracy and precision. Previous experience in business or accounting in addition to library experience is strongly preferred.

This is an on-campus opportunity. The selected candidate will be required to work on-site at our College Station campus Monday through Friday, from 8:00am to 5:00pm.

Salary: $17.25/hourly

Responsibilities
  • Invoicing: Processes invoices for the continuation of electronic resources, ensuring accuracy, completeness, and appropriate documentation to support timely and fiscally responsible payment of library materials (e.g., journals and databases). Maintains and updates invoice records in library systems. Prepares documentation for approval and submission to the Library business office. Reconciles invoices, statements, and payments and resolves standard and routine discrepancies while escalating complex issues. Coordinates with library staff, vendors, and campus partners to support invoice resolution, maintains accurate records, and follows established procedures and guidelines.
  • Renewal - Subscription agent: Processes renewal information received from the library's subscription agent for subscriptions, standing orders, and continuations in all formats using the library's online acquisitions systems. Reconciles vendor information with library records and verifies receipt of materials and access. Identifies and solves routine problems.
  • Data Management - record maintenance: Ensures data quality, consistency, and integrity across systems. Assists with scanning invoices and other relevant documents in Laserfiche. Helps maintain records retention on data scanned.
  • Teamwork: Participates and contributes to unit meetings and on Library Committees as appropriate to job duties. Pursues professional growth through participation in organizational and professional development activities.


Qualifications

Required Education and Experience:
  • High school diploma or equivalent combination of education and experience.
  • Three years of related library experience.
A Well-Qualified Candidate Will Also Possess:
  • TAMU experience as a Library Specialist I.
  • Experience working with CSV file, Laserfiche, SharePoint, Google Drive or similar platforms.
  • Ability to multi-task and work cooperatively with others.
  • General knowledge of library services and functions.
  • Knowledge of email, word processing, spreadsheet applications and library online research database searches and/or processing.
  • Good interpersonal skills.
  • Conflict resolution skills.
  • Reliable attendance.
  • Excellent communication and customer service skills.
  • Ability to move medium weight boxes, books, heavy book truck or similar items.
  • Ability to handle material which can contain dust or microscopic mold spores.
