The Payroll Specialist oversees every stage of payroll operations, including timekeeping oversight, payroll processing, post-payroll reconciliation, and reporting activities. This role is responsible for ensuring employees are paid accurately and on time while maintaining full compliance with federal and state payroll laws and regulations. The Payroll Specialist collaborates with staff, managers, accounting teams, and outside agencies to address payroll concerns, maintain accurate records, and support overall payroll integrity.
Primary Responsibilities
Payroll Administration
- Process payroll on a scheduled basis while ensuring a high level of accuracy
- Maintain payroll records, deductions, and employee earnings information
- Verify payroll changes including salary updates, direct deposits, and payroll adjustments
- Process payroll corrections, bonus payments, and flexible spending account entries
- Administer wage garnishments according to applicable state and federal guidelines
- Review child support deductions and reconcile court-ordered balances
- Enter reimbursable non-taxable expenses into payroll systems
- Submit payroll entries and distribute payroll documentation appropriately
- Ensure live payroll checks are mailed within established timelines
- Complete payroll close procedures for payroll periods, month-end, quarter-end, and year-end
Timekeeping & Attendance - Maintain timekeeping records for departments as assigned
- Conduct semi-annual audits of departmental timekeeping practices
- Generate exception reports to verify payroll readiness
- Provide support and guidance to departments regarding timekeeping compliance and issues
Employee Records & Deductions - Maintain employee payroll documentation and deduction records
- Process PTO adjustments and PTO cash-out/sell-back requests
- Track deductions and balances related to medical expenses, employee campaigns, computer purchases, garnishments, and related items
- Update and maintain employee data within UKG and other payroll platforms
Reporting & Reconciliation - Reconcile payroll-related general ledger accounts monthly
- Review and reconcile employee bank and loan accounts
- Audit payroll tax reporting for accuracy and completeness
- Prepare quarterly unemployment tax filings
- Assist with quarterly 941 reporting requirements
- Provide payroll reconciliations, reports, and supporting data to Accounting leadership
Compliance & Employee Support - Maintain compliance with all applicable payroll regulations and standards
- Protect the confidentiality and security of payroll and financial information
- Assist with audits and special payroll-related initiatives
- Maintain payroll manuals, procedures, and process documentation
- Respond to employee payroll inquiries and resolve discrepancies promptly
- Provide historical payroll records and reporting information as requested
Qualifications Education & Experience - High school diploma or equivalent required
- Minimum of 3-5 years of payroll and/or accounting experience
- Knowledge of federal and state payroll regulations
Preferred Qualifications - CPP (Certified Payroll Professional) certification preferred
- Associate degree preferred
Skills & Abilities - Strong proficiency with payroll software and computer systems
- Experience with UKG or comparable HR/payroll platforms preferred
- Excellent analytical, organizational, and problem-solving skills
- Strong attention to detail with a focus on accuracy
- Ability to work independently and manage priorities in a fast-paced environment

Pay Details: $20.00 to $25.00 per hour
