THE GIST:

Our client, a private investment firm with an impressive portfolio, seeks a stellar Executive Assistant to support one of the firm's Founding Partners in Palo Alto. This role will involve expert coordination of domestic & international travel, and management of the executive's complex calendar, in addition to overseeing special projects and working collaboratively with other team members. The ideal candidate will bring a polished & professional demeanor, keen attention to detail, and top-tier organizational skills to the role. Previous administrative support experience in private equity, investment banking, and/or venture capital highly preferred.

THE NITTY GRITTY:
  • Expertly manage executive's complex & high-volume calendar, coordinate meetings, and confirm appointments
  • Arrange ever-changing international & domestic travel and prepare itineraries
  • Manage incoming communications with a strong sense of urgency, discretion, and tactfulness
  • Update internal CRM system in a timely manner
  • Assist with the planning & execution of firm events
  • Collaborate cohesively with members of the administrative support team and other departments
  • Act as backup for other administrative team members when needed
  • Assist with other administrative tasks & projects, as needed
THE ESSENTIALS:
  • 3-5 years of administrative support experience
  • Experience with high-volume & complex executive calendar management required
  • Experience arranging corporate travel required
  • Experience working in financial services and/or consulting a plus
  • Flexible to work outside traditional business hours when needed
  • Polished and professional communication style
  • Ability to work well independently and as part of a team
  • Impeccable attention to detail
  • Superior level of discretion and confidentiality
  • Ability to thrive in a dynamic environment with tight deadlines
  • Proficient in Microsoft Office
  • Salesforce experience a plus!
