Payroll Coordinator
Location: Philadelphia, PA (Wynnefield)
About the Opportunity
A growing organization is seeking an experienced Payroll Coordinator to join its Human Resources and Finance team. This role is responsible for ensuring accurate and timely payroll processing, maintaining payroll records, reconciling payroll-related data, and supporting compliance with federal, state, and local regulations.
The ideal candidate is detail-oriented, highly organized, and comfortable working with payroll systems, timekeeping records, tax reporting, and cross-functional teams in a fast-paced environment.
Key Responsibilities
Payroll Administration
  • Process bi-weekly payroll for a multi-department workforce.
  • Review and maintain employee payroll records, including new hires, terminations, compensation changes, and deductions.
  • Validate timekeeping data and resolve discrepancies in collaboration with department managers.
  • Ensure payroll information is accurately transferred between timekeeping and payroll systems.
  • Generate and review payroll reports to verify accuracy before payroll submission.
Tax & Compliance
  • Support payroll tax administration and reporting activities.
  • Review payroll tax liabilities and assist with timely tax payments and filings.
  • Reconcile payroll tax data and work with external providers as needed.
  • Maintain compliance with federal, state, and local payroll regulations.
Reconciliations & Reporting
  • Prepare and reconcile payroll-related reports, deductions, and liabilities.
  • Partner with Accounting and Accounts Payable teams to ensure payroll deductions are processed and balanced accurately.
  • Assist with month-end, quarter-end, and year-end payroll activities.
  • Support workforce reporting and payroll analytics as required.
Year-End Processing
  • Coordinate annual payroll reporting activities.
  • Review employee tax documents, including W-2 reporting and related payroll reconciliations.
  • Assist with year-end audits and ensure payroll records are complete and accurate.
Qualifications
  • Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field preferred.
  • 3+ years of payroll processing experience; high-volume payroll experience is a plus.
  • Strong understanding of payroll regulations, tax reporting, and payroll best practices.
  • Experience working with payroll and timekeeping systems.
  • Advanced attention to detail and strong data reconciliation skills.
  • Proficiency in Microsoft Excel and other Microsoft Office applications.
  • Excellent communication skills with the ability to work effectively across departments.
Preferred Qualifications
  • Experience supporting multi-site or multi-entity payroll environments.
  • Knowledge of payroll tax compliance and year-end reporting processes.
  • Familiarity with payroll audits, reconciliations, and payroll-related accounting activities.
Pay Details: $27.00 to $30.00 per hour
