Position OverviewA respected public-sector organization is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative, logistical, and project support to executive leadership. This role serves as a key liaison between leadership, internal departments, external stakeholders, and community partners while overseeing scheduling, communications, events, board appointments, and special projects.
The ideal candidate is detail-oriented, politically savvy, technologically proficient, and able to manage multiple priorities in a fast-paced environment while maintaining confidentiality and professionalism.
Key ResponsibilitiesExecutive and Administrative Support- Provide high-level administrative support to executive leadership and senior management.
- Draft, edit, and prepare correspondence, reports, presentations, meeting materials, and other business documents.
- Manage complex calendars, appointments, meeting requests, and scheduling logistics.
- Coordinate executive travel arrangements, itineraries, registrations, and expense documentation.
- Process invoices, purchase orders, check requests, and purchasing card reconciliations.
- Maintain records, filing systems, and departmental documentation in accordance with retention policies.
Stakeholder and Public Relations- Serve as a primary point of contact for inquiries from community members, business leaders, media representatives, government agencies, and other stakeholders.
- Respond to requests, route inquiries appropriately, and ensure timely follow-up.
- Draft professional correspondence including recognition letters, proclamations, acknowledgments, congratulatory messages, and thank-you communications.
- Coordinate public appearances, speaking engagements, and ceremonial activities for executive leadership.
Board, Committee, and Meeting Coordination- Prepare and distribute agendas and supporting materials for leadership, committee, and board meetings.
- Coordinate meeting logistics and ensure compliance with applicable public meeting requirements.
- Maintain appointment and membership records for various boards, commissions, and advisory groups.
- Prepare appointment and reappointment documentation and coordinate communications with appointees.
Event Planning and Special Projects- Plan and execute executive and community events, receptions, recognition programs, and stakeholder gatherings.
- Coordinate venues, catering, invitations, attendance tracking, seating arrangements, and event-day logistics.
- Support special initiatives and projects on behalf of executive leadership.
- Assist with preparation of executive presentations and major community-facing events.
Operational Support- Order office supplies and equipment and manage departmental inventory as needed.
- Assist with budget-related administrative tasks and fixed asset tracking.
- Monitor contracts, reports, and documentation associated with departmental programs and community partnerships.
- Maintain awareness of organizational priorities, projects, and current issues to support leadership effectively.
- Provide support during emergency operations or special response activities when required.
QualificationsEducation- High School Diploma or GED required.
- Associate's or Bachelor's degree preferred.
Experience- 2+ years of progressively responsible administrative, executive support, office management, or related experience.
- Experience supporting senior executives, elected officials, government leadership, or C-suite leaders is highly desirable.
- Experience coordinating meetings, events, and stakeholder communications preferred.
Skills & Competencies- Exceptional written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to handle confidential and sensitive information with discretion.
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Strong attention to detail and ability to prioritize competing deadlines.
- Excellent problem-solving and customer service skills.
- Ability to work independently while collaborating effectively across departments.
Additional Information- Regular business hours, Monday through Friday.
- Fully onsite position in Overland Park, Kansas.
